Registration for training courses

When you register for a course at Piims Academy, we will process some of your personal information. It is our responsibility to ensure that this is done carefully. This privacy statement explains what information we process, why we need it, what we do with it and how you can control it.

What data we collect and why we use it

The table below describes what personal data we process. In general terms, we need your data to provide you with the training you have registered for. Below we explain exactly what we need each piece of information for.

Nickname, full initials and surname Preparing the training agreement. Preparing your diploma. Checking your identity during the exam.
Date of birth Checking your identity during the exam. Making your diploma unique.
Address, postal code and city Sending study materials and your diploma.
E-mailadres MCommunicating with you about the training. Communicating with you about topics related to the programme. If you do not want the latter, you can object. More information on this can be found under the heading 'How to keep control of your data'.
Phone number Conducting an intake interview. Reporting any absences.
Training data such as attendance, implementation portfolio, exam results Justification for decisions to award or not to award a diploma.

Who we share your information with

If you pass your exam and you give us permission to do so, we will share your name, date of birth and diploma with Brand Compliance BV for inclusion in the Brand Compliance ‘BC 5701 Professionals Register’. We will not share this information with your employer, even if they are paying for the training.

How long we keep your personal data

We will keep all data relating to the training you have taken for 15 years after our last contact with you. The purpose of this is to support decisions on whether or not to award a diploma and to replace any lost diplomas.

If you ask us to destroy your data earlier, we will of course do so. You can find more information about this under the heading ‘How you can control your data’.

We are required to retain all data relating to the financial settlement of the training for a period of 7 years.

If your application does not result in a place on a training, we will destroy your data within 2 months of the end of your application.

How to keep control of your data

The following rights apply to the data we process about you in relation to training courses.

    The right of access

    The right to rectification *.

    The right to erasure *.

    The right to restrict **.

    The right to object **.

 * Does not apply to data relating to the financial processing of the training contract.

** Applies to the use of your data for marketing purposes and to any data we may use inappropriately.

Putting your name on the waiting list

Is the training you want to register for full? You can add your email address to the waiting list. You will then be notified if a place becomes available.

What data we collect and why we use it

For waiting list purposes we only collect your email address and the course you are interested in.

We use this information to notify you when a place becomes available.

To whom do we pass on your data

We do not share your data with anyone.

How long we keep your data

We will delete your data when your enquiry is no longer relevant. This will be the case if we have been able to offer you a place, or if the course has started without you being able to attend. We will notify you when we delete your registration.

How to keep control of your data

Do you want us to delete your data? Then send us an e-mail with that request from the e-mail address you used to register on the waiting list.

Right of access

The right of access means that you can ask us what personal data we are processing about you and to send you a copy of that data.

The right of rectification means that you can ask us to correct your data if the data we hold about you is incorrect.

 

Right to erasure

If we process your data on the basis of your consent, such as for newsletters, or if we continue to process your data in error when it is no longer needed for the original purpose, you can ask us to destroy your data.

 

Right to restriction of processing

In some cases, you may want us to stop using your information, but not to destroy it. In these cases, there is a right of restriction. Your data will be frozen and not used until further notice. You can exercise this right if you:

  • believe that the information we hold about you is incorrect;
  • believe that we are using your information unlawfully;
  • want to secure the data for, for example, legal proceedings.

 

Right to object

If you do not want us to process your data, you can object to this. We will always respect an objection to the use of your data for marketing purposes.

Identification when exercising your rights

The rights listed above apply to you in relation to the data we process about you. Due diligence requires us to verify your identity before responding to a request. If we do not do this, we may be disclosing your information to a complete stranger and that would be a breach of your privacy.

What if you have a complaint

Piims Academy is committed to ensuring that you are satisfied with our services. But providing services is done by people. So it may happen that something goes wrong and you are not satisfied with the way we have handled your personal data. There are three ways you can make a complaint:

Making a complaint to Piims Academy

The first step is always to make a complaint to us. Not only because we want to resolve your complaint, but also because the Autoriteit Persoonsgegevens (the Dutch Supervisory Authority) requires this as a condition for handling your complaint. We recommend that you make your complaint in writing. You can do this by sending us an email or a letter. You will find our contact details at the bottom of every page on our website.

Making a complaint to the Autoriteit Persoonsgegevens

If you are not satisfied with the way we have handled your complaint, you can also complain to the Autoriteit Persoonsgegevens. You can submit your complaint using a form on the Autoriteit Persoonsgegevens website.

Before the Autoriteit Persoonsgegevens can deal with your complaint, you must first submit your complaint to us.

The handling of your complaint by the Autoriteit Persoonsgegevens may result in a fine for Piims Academy, but never in compensation for you. If you want compensation, you will have to go to court.
